Privacy policy

1. Who is responsible

The person responsible for processing your personal data (the controller) is:

Operator
Andrej Maznevski, operating under the business name AERONI
Address
Herrligstrasse 35
8048 Zürich
Country
Switzerland
Email
hello@aeroni.ch

AERONI is a business name, not a separate company. Please send any privacy question or request to the email address above.

2. What this policy covers

This policy explains what happens to personal data when you visit this website, contact us or use our free Job Ad Checker. Work we do for clients is governed by separate written agreements, including data-processing terms where needed.

We process personal data in accordance with the Swiss Federal Act on Data Protection (FADP). Where the EU General Data Protection Regulation (GDPR) applies, for example because we offer our services to people in the EU or EEA, we also comply with it. The legal bases named below apply where the GDPR applies.

3. Visiting the website

This is a static website hosted by Infomaniak Network SA, Geneva, Switzerland. To deliver and secure the website, the hosting provider may process technical connection data, such as your IP address, the page requested, the date and time, browser information and other technical details contained in the request. This is also used to maintain the infrastructure, protect it against abuse and security incidents, and diagnose technical problems. The hosting provider may keep this data in technical logs for these purposes, according to its own practices.

We have not set up visitor statistics, and we do not use this data for analytics, advertising, behavioural profiling or marketing.

Legal basis (where the GDPR applies): our legitimate interest in providing a secure, working website (Art. 6(1)(f) GDPR).

4. Contacting us

When you press “Start a conversation”, what you entered (name, email address, company, your description and any additional message) is sent over an encrypted connection to our own automation system. It runs on n8n and is hosted by Hetzner Online GmbH, Germany. The system checks the message for spam and forwards it to our mailbox. It does not use your message for anything else. Like any server, it also receives technical connection data such as your IP address, which may appear in its technical logs; we don’t use this data for anything else.

If sending fails, the form offers to prepare the email in your own email app instead. That email is then transmitted through your chosen email provider, which processes it under its own terms and privacy practices.

Whether you use the form or email us directly, we receive what you send: typically your name, email address, company, a description of what you would like to automate, anything else you choose to include, and standard email information such as sender and recipient addresses, date and time, and technical headers.

Purpose: replying to you, discussing a possible project, and keeping a record of our correspondence. Legal basis (where the GDPR applies): steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR), otherwise our legitimate interest in answering messages we receive (Art. 6(1)(f) GDPR).

Please don’t send sensitive personal data (for example health information) unless it is necessary.

5. Job Ad Checker (free tool)

Our Job Ad Checker analyses a job advertisement and gives it a readiness score. It runs on our own automation system (n8n, hosted by Hetzner Online GmbH in Germany). The analysis and the improved version of the ad are generated with AI by OpenAI.

Checking an ad

When you check an ad, we process the text you paste or the file you upload (PDF, Word or TXT), the location and contract type you select, and the result. The ad is sent to OpenAI for analysis and stored on our server so your report can be shown to you. Job ads rarely need personal data: please remove names, contact details and other information about individuals before checking.

To prevent misuse and protect the service from automated floods, we limit how many ads can be checked from the same internet connection (currently six every four hours). For this we store a scrambled version of your IP address with each check, from which the address itself cannot be read. It is deleted together with the check after 14 days.

Getting the full report

For the full report, you enter your first name, company and email address, and optionally your company size and role. We send you an email with a private link through our email delivery provider Brevo. Opening the link confirms your email address and unlocks the report. Anyone who has the link can open the report, so please don’t share it.

We use these details to send and unlock your report, to apply usage limits (such as three checks per email address per month) and to prevent misuse. If a request is refused, for example because the monthly limit is reached, we log it with the details entered.

We may also contact you personally about your hiring, for example to offer a free test of our candidate matcher if you use a work email address, or when you reach the monthly limit. To decide whom to contact first, we rate sign-ups with simple criteria: work or private email address, company size, role and how often the tool is used. This rating is used only for that purpose. If you use a work email address, you also receive a personal link to a one-time test of our candidate matcher (one role, up to 30 CVs) with your report.

Candidate matcher test

In the matcher test, you upload one job description and up to 30 CVs, together with your name, company and email address. The CVs are analysed with AI by OpenAI and compared with the job requirements, and you receive a ranked shortlist with the reasons for each ranking.

The CVs contain personal data of your applicants. For them, your company is responsible for the processing, and we process the CVs only on your behalf and only to prepare your shortlist. Before uploading, you confirm that you may share the CVs with us for this purpose. Applicants who want to exercise their rights should contact the company they applied to; we will support that company.

The shortlist ranks CVs to support your decision. It is not a hiring decision: you decide which candidates to consider.

Hiring tips and updates (optional)

Hiring tips and updates are a short series of emails over about two weeks, with practical hiring tips, how our tools and services can help, and a personal note from us, followed by occasional updates. If you tick the box for them, we record your choice, the wording you agreed to and the time. Your consent only takes effect once you confirm your email address through the link we send you (double opt-in). You can withdraw it at any time with the unsubscribe link in every such email, or by writing to hello@aeroni.ch.

Legal basis (where the GDPR applies): providing the check and report you request (Art. 6(1)(b) GDPR); our legitimate interest in preventing misuse (including the per-connection limit), offering the matcher test and contacting you personally about your hiring (Art. 6(1)(f) GDPR); for CVs in the matcher test, processing on behalf of the uploading company; your consent for hiring tips and updates (Art. 6(1)(a) GDPR).

6. How long we keep data

7. Marketing

Contacting us does not subscribe you to anything. We send hiring tips and updates, which can include offers for our own services, only to people who opted in through our Job Ad Checker and confirmed their email address (see section 5), and you can unsubscribe at any time. We don’t buy, sell or share mailing lists.

8. LinkedIn and other external links

The website contains a normal link to our LinkedIn company page. It is not a plugin, embed or tracking tool, so visiting our website does not share information with LinkedIn. If you click the link, your browser connects directly to LinkedIn, and LinkedIn may receive technical information associated with that request. LinkedIn’s own privacy policy then applies. The same is true for any other external link.

9. Cookies and tracking

The website currently does not use cookies, analytics, advertising trackers, tracking pixels, social plugins, behavioural profiling or third-party scripts. Fonts, images and scripts are served from our own website. See the cookie policy.

10. Who receives personal data

We don’t sell personal data. It may be received by:

11. Processing outside Switzerland

We primarily use Swiss-based providers. If personal data is processed outside Switzerland by us or by a service provider on our behalf, we do so only where the applicable legal requirements are met, including an adequate level of data protection or appropriate safeguards where required.

Bookings made through Cal.com are processed by Cal.com, Inc., mainly in the United States, under its own terms.

Job ads checked with our Job Ad Checker, and CVs in the matcher test, are processed by OpenAI, mainly in the United States. For this we rely on OpenAI’s data processing agreement, which includes the standard contractual clauses recognised in Switzerland and the EU.

An email you send us travels through your own email provider, which may process it in other countries.

12. Your rights

Depending on the applicable law, you have the right to:

These rights can be subject to legal exceptions, for example where we must keep data by law. To exercise them, email hello@aeroni.ch. We may ask you to confirm your identity, and we will respond within the period required by applicable law.

You can also complain to a data protection authority: in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC); in the EU/EEA, the authority in your country of residence or work, or where an alleged infringement took place.

13. Security

The website is served over an encrypted connection (HTTPS). We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse or alteration. Access to email accounts and correspondence is restricted to authorised persons and protected using appropriate security measures. Please note that ordinary email is not end-to-end encrypted, so avoid sending highly confidential information by email.

14. Automated individual decisions

We do not currently make automated individual decisions about website visitors or people who contact us. The Job Ad Checker’s score is an automated assessment of a job ad, not a decision about you. The candidate matcher’s shortlist supports the uploading company’s own decision; it does not decide about applicants.

15. Changes to this policy

We will update this policy when the website or our processing changes. The date at the top shows the current version.
